Job Description

Geneseo Central School District is seeking a highly organized and dependable individual to serve as the Elementary School Secretary. This position is a civil service Clerk Typist role but is uniquely designed to support the day-to-day operations of our elementary school. The successful candidate will provide direct administrative support to the elementary principal, staff, students, and families while ensuring the smooth and efficient operation of the school office.

Key Responsibilities

Administrative Support
- Answer phones, take messages, route calls, and respond to general inquiries.
- Maintain calendars for the elementary principal, including scheduling meetings, appointments, and events.
- Prepare, edit, and distribute correspondence such as emails, newsletters, letters, and memos.

Student & Staff Support
- Assist with student transportation, including daily changes, long-term adjustments, and coordination with the transportation director. (Experience with Traverse is preferred.)
- Support student registration, transfers, and withdrawals.
- Maintain student records, cumulative files, and other confidential information in accordance with regulations.
- Provide clerical support to teachers (copies, supply requests, scheduling assistance).

Office Management
- Coordinate daily substitute coverage with the principal, ensuring substitutes receive schedules, keys, and classroom assignments.
- Manage office supplies and inventory; place orders and track usage.
- Maintain filing systems, databases, and digital records.
- Coordinate building use requests for community groups and extracurricular activities.

Financial & Compliance Tasks
- Handle petty cash, student activity accounts, and basic bookkeeping as assigned.
- Process purchase orders, invoices, and reimbursement requests.
- Assist with compliance reporting for state and district forms.

Safety & Communication
- Serve as a point of contact during emergencies and follow established safety protocols.
- Maintain accurate emergency contact information for students and staff.
- Communicate effectively with families regarding school policies, events, and updates.

Other Duties
- Perform additional responsibilities as needed to support the principal, students, and staff.
- Contribute to the positive, welcoming atmosphere of the elementary school by balancing administrative, student-facing, and operational responsibilities.

Job Qualifications
  • Must meet Civil Service requirements for Clerk or Clerk Typist title.

  • High school diploma or equivalent required; additional education or training preferred.

  • Strong organizational, communication, and interpersonal skills.

  • Proficiency in Microsoft Office Suite, Google Workspace, and office equipment.

  • Ability to maintain confidentiality and handle sensitive information with discretion.
